Enabling Teams Softphone Permissions in Windows 11

On MC computers Administrator login is required to make these changes.

To use Microsoft Teams as a softphone for making and receiving calls on Windows 11, you need to ensure that the necessary permissions are enabled both within the Teams application and in your Windows 11 Privacy settings. 

1. Teams Application Permissions:

  • Access to Microphone and Camera: Ensure that Teams has permission to access your microphone and camera. This is crucial for audio and video calls.
    • In Teams, go to Settings > Permissions and verify that camera and microphone access are enabled.

2. Windows 11 Privacy Settings:

  • Microphone Access:
    1. Open Windows Settings.
    2. Select Privacy & security.
    3. Under App permissions, select Microphone.
    4. Turn on the Microphone access toggle.
    5. Turn on the Let apps access your microphone toggle.
    6. Turn on the toggle for Microsoft Teams (work or school).
    7. Turn on the Let desktop apps access your microphone toggle.
    8. Close all applications and restart your device.

  • Camera Access:
    1. Open Windows Settings.
    2. Go to Privacy & security > Camera.
    3. Ensure that Camera access and Let apps access your camera are turned on.
    4. Make sure the toggle for Microsoft Teams (work or school) is enabled.
    5. For desktop apps, ensure that Let desktop apps access your camera is turned on.

3. Call Settings in Teams:

  • Enable Private Calling: If your organization allows private calling, ensure it's enabled in your Teams settings.
    1. In Teams, go to Settings > Calls.
    2. Turn on Allow private calling.
  • Default Devices: In Teams, you can specify your preferred microphone, speaker, and camera for calls and meetings.
    1. Go to Settings > Devices.
    2. Under Audio settings, select your desired speaker and microphone.
    3. Under Video settings > Camera, select your preferred camera. 

4. Delegates (If Applicable):

  • If you need someone else to answer or make calls on your behalf, you can add them as a delegate and grant them permissions.
    1. Go to Settings > Calls.
    2. Under Manage delegates, select Add a delegate.
    3. Choose the permissions you want to grant them. 

By following these steps, you can ensure that Microsoft Teams has the necessary permissions to function correctly as a softphone on your Windows 11 device, enabling you to make and receive calls seamlessly.
